Overview
Connecting to Cure Crohn's and Colitis (CtoC) was founded in 2011 by two mothers of very young IBD patients. CtoC’s mission is to unite and support the Inflammatory Bowel Disease (IBD) community, amplify awareness about the gravity of IBD, raise crucial research funds, and foster meaningful connections among those affected by these chronic and incurable conditions.

Position
The Operations Assistant is pivotal in coordinating and managing the day-to-day functions of Connecting to Cure Crohn’s and Colitis. This role involves providing administrative support, coordinating volunteers and board members, assisting with marketing and communications, and overseeing both program and event coordination. As a crucial member of a small team, the Operations Assistant will play a key role in supporting the Executive Director and contributing to the organization's overall success, making it an ideal position for those interested in nonprofit management.

Responsibilities
1. Administrative Management

  • Serve as Primary point of contact and coordinator for community relationships.

  • Respond to phone calls and emails and direct inquiries to relevant staff.

  • Manage inquiries from patients, caregivers, volunteers, donors, etc.

  • Manage general correspondence (thank you letters to donors, communications with vendors, etc.)

  • Proofread communications documents.

  • Serve as coordinator for:

    • Communications and meetings with the board.

    • Invoicing, billing, banking, and gathering financial records.

    • Volunteer, Partner, and Sponsorship activities.

    • Meetings for the Executive Director as needed.

  • Support fundraising committee as needed (i.e. grant research, sponsor research, and follow-up).


2. Marketing and Communications

  • Assist with and execute marketing campaigns and collaborate with staff to develop content for social media, collateral, official emails, and fundraising communications.

  • Manage event announcements with ED and staff, such as World IBD Day, Crohn’s and Colitis Awareness week.

  • Oversee website updates and support Executive Director with blog.

  • Assess opportunities for conference participation and speaking engagements.

 

3. Program/Event Coordination

  • Coordinate fundraising and awareness events:

    • Rock the Night

    • Annual Piano Recital

    • LA Marathon/Screenland 5K

    • Golf Tournament

    • End-of-Year Fundraiser

  • Coordinate community patient & family support programs:

    • Confirm attendance facilitators and attendees for monthly support groups and coordinate post-meeting surveys with participants.

    • Act as liaison between CtoC and Cedars Sinai and CHLA to notify them about monthly support groups (via email and sending fliers).

    • Manage waiver signatures for all participants to ensure compliance.

    • Grow and develop the Support Group Program with Guest Speaker facilitators and facilitator training.

Qualifications
The ideal candidate should have at least 1-2 years of administrative experience and an interest in nonprofit management (master's or undergraduate focus on nonprofit management is a plus). Additional qualifications include:

  • Strong organizational, multitasking, and project management skills.

  • Attention to detail and excellent problem-solving skills.

  • Excellent verbal and written communication skills.

  • Strong time‐management and organizational skills.

  • Ability to multitask, work independently and collaboratively.

  • 2 years of experience in operations, administrative support role, or similar.

  • High proficiency in Google Workspace, Excel and Word.

  • Stable employment history with integrity and responsibility.

  • Excellent interpersonal skills with a high level of confidentiality and professionalism.

  • Experience with charitable organizations is a plus.
